Presentation Guidelines

Poster presentation

Onsite attendees

Please prepare 2 documents:

1) a printed poster: the recommended size is A0, portrait layout (118.9 cm x 84.1 cm).

2) a digital version of the poster for online presentation: the recommended size is A2, portrait layout with font size 12 pt or A3 portrait layout with font size 9 pt. This allows for the same amount of information as a (regular) A0 poster with font size 24 pt, while reducing file size. As the poster will be displayed on computer screens there is no effect on readability despite smaller poster and font size. Posters have to be submitted as ppt file (pdf file if you prefer), please use web optimized settings if the software you use to create your file gives you the choice.

2) a digital version of the poster for onsite presentation (we are looking for a solution to print posters of online attendees in order to make them visible in the posters room, to be confirmed): the recommended size is A0, portrait layout (118.9 cm x 84.1 cm), to be submitted as pdf file.

For both onsite and online presenters, a video of your poster will be available and broadcasted during the workshop (and available on replay until 31st October), in addition to the "traditional" poster session.

Oral presentation

The time for a talk is 12 minutes, followed by 3 minutes for Q&A.

Onsite Presentations

Oral presentations given onsite in Brest will be broadcasted live during the workshop.

Online Presentations

As for onsite presentations, oral presentations given online will be broadcasted live during the workshop via a videoconference system. A link to join the videoconference and a best practice guide will be given to each presenter a few days before the workshop. Tests could be organised if wishes by some of you a few days before the workshop. Nevertheless, each online presenter will be asked to send his/her recorded presentation before the 20th of September 2022, 23:00 UTC. This is just a precautionary measure in case presenters have difficulty sharing it during the videoconference or if the presenter prefers to broadcast the recording due to time zone incompatibilities. You can find instructions for making a video at the end of the page.

After the sessions, the presentations broadcasted will be available on replay until 31st October.

Uploading presentations

We kindly ask all poster and oral presenters (both onsite and online) to send their presentation files using WeTransfer or a similar service to miw22@ifremer.fr before the 20th of September 2022, 23:00 UTC. Please always include your name and your topic* number in e-mails and file names. The file names should start with the following pattern: MIW22_<type>_<topic_number>_<presenter's LASTNAME_Firstname> (where type is poster or oral; topic_number is defined below). For example, if the abstract was a poster submitted in the topic “Tools for image annotation” the file name will be: MIW22_Poster_Topic5_ DOE_Jane.

*Topic number:

  1. Scientific advancements in biology and geology using (underwater) imagery data
  2. Platforms, optical sensors and (underwater) image acquisition
  3. (Underwater) image calibration and preprocessing
  4. Automated image processing
  5. Tools for image annotation
  6. Quality control in imagery data, from acquisition to analysis
  7. Tools and standards for managing and sharing imagery data
  8. Interdisciplinary collaborations in marine imagery analysis, including science and society challenges

How to make a video?

  • Record your video in the highest possible resolution with a maximum file size of 500 MB
  • A picture of yourself on the first slide would be appreciated
  • If you record your presentation using PowerPoint, Keynote or OBS, we recommend to convert it into .mp4 file format

Creating a video

Here are a couple of links to help you recording.

For Mac users with Keynote version 10.1 or higher the easiest way is using Keynote. Video Tutorial

For all other cases we suggest OBS Studio. This is open source software able of capturing screen, video and sound and combining them into a single video file. Download /  Quick startVideo Tutorial

Tips to make a good video

Besides the technical aspects described above, please consider the following:

  • Avoid wobbling around while recording. Choose a silent spot and avoid background noise. Beware of potential echo. The use of earphones with microphone can improve the audio quality of your video.
  • Don’t use any elements that are copyright protected.
  • Avoid talking too fast. Consider varying your voice, be it in volume, speed or tone. This will help the audience keeping engaged.
  • If possible put somewhere a ‘no noise’ timer (best at eye level) so that you can keep track of recording time.

Good luck!
